technical notes: Microsoft One drive
Upload Files to OneDrive:
-
Step 1: Open OneDrive on your desktop or through the web at onedrive.com.
-
Step 2: Drag and drop files into the OneDrive folder or click on the Upload button to select files or folders from your device.
-
Step 3: Wait for the upload to complete. Once uploaded, your files are stored in the cloud, accessible from any device.
Organize Files and Folders:
-
OneDrive allows you to organize your files into folders. You can create a new folder by clicking on New > Folder.
-
Inside each folder, you can store relevant files that are easy to access and share with your team.
Share Files with Your Team:
-
Step 1: Right-click on the file or folder you want to share and select Share.
-
Step 2: You will be given options to set permissions. You can choose:
-
Anyone with the link (for public sharing).
-
People in your organization (restricted to your company).
-
Specific people (restricted to certain team members).
-
-
Step 3: If you choose "Specific people," enter the email addresses of your team members. You can also set permissions, such as allowing them to only view or edit the files.
-
Step 4: Once done, click Send or Copy Link to share the file or folder.
Collaborate on Shared Files:
-
When files are shared with your team, multiple members can edit documents in real-time using Office apps like Word, Excel, or PowerPoint. This can be helpful for collaborative tasks like editing a report or updating a spreadsheet.
-
OneDrive automatically saves changes, so you don’t have to worry about losing your work.
Track Activity and Manage Access:
-
OneDrive allows you to see who has viewed or edited a shared file. To view the activity, right-click the file, choose Details, and check the Activity section.
-
You can also manage access by clicking on the Manage Access option. From here, you can stop sharing, change permissions, or add/remove team members.
Version History:
-
OneDrive keeps a version history of your files. If someone makes an error, you can easily revert to a previous version by right clicking the file and selecting Version History. This helps ensure that nothing is lost, and you can recover from mistakes.
Sync Files to Your Device:
-
You can also sync your OneDrive files to your local device. With OneDrive’s sync feature, you can access files offline. Any changes made while offline will sync automatically when you reconnect to the internet.
